Annual Parish Meeting 2021
Annual Parish Meeting 2021
Our Annual Parish Meeting is planned for Sunday 31st October at 11:30am.
With the uncertainty around Government restrictions and difficulties in holding in-person gatherings at present, this year our Annual Parish Meeting will be held as an online event through the Zoom (www.zoom.us) video conferencing platform.
This page contains everything you need to have full and transparent participation in this aspect of our Church governance.
The formal notice and agenda of the Annual Parish Meeting can be downloaded here:
If you have any questions or need help, please contact the Church office on (03) 9584 9563 or email on firstname.lastname@example.org
The 2020-21 Annual Report booklet will be published two weeks before the Annual Parish Meeting on 17th October 2021.
We are happy to make available a paper copy of the Annual Reports booklet upon request to the office, call (03) 9584 9563 or email on email@example.com
Parish Electoral Roll
Anyone can attend the Annual Parish Meeting. However to be nominated to a position, propose a motion, or vote, then you need to be on the Parish Electoral Roll.
Please call the Office on (03) 9584 9563 or email via firstname.lastname@example.org to check if you are on the current roll or to apply to be on the electoral roll.
Public inspection of the electoral roll is possible. If you wish, you can contact the office to access a copy.
Nominations for Elected Positions
The Parish Council meets monthly for big picture governance and oversight of the Parish. It is chaired by the Vicar and made up of Churchwardens and general members.
The Annual Meeting appoints 2 Wardens and up to 6 members of Parish Council. The Vicar appoints 1 Warden and some Parish Council members. The term of office is one year.
The Annual Meeting also appoints 2 members to the Parish Incumbency Committee. This committee is used when required as part of a wider Diocesan process to renew or appoint a Vicar.
This year, nominations for Parish Council, Warden and Incumbency Committee positions will not require the usual filling in of hard copy paper forms, and nominations can be made via a simple email to the Vicar at email@example.com. Nominations still need to be seconded by two members of the Parish, and these two members should be cc’d on the nomination email.
Nominations close one week before the Annual Parish Meeting on Sunday 24th October 2021.
Connecting to the Zoom Meeting
The Annual Meeting will be held as an online event through the Zoom (www.zoom.us) video conferencing platform.
The St Augustine’s Anglican Church Zoom Link that will be used for the Annual Meeting is – https://us02web.zoom.us/j/2740697257?pwd=TGtkYzhpM2VWZVgzUWJ1N3NPOG9Tdz09https://us02web.zoom.us/j/2740697257
Using Zoom over the internet will be the best way to participate in the meeting and will allow you to vote on motions.
If you are not confident with Zoom, the Church Office is organizing a system of “Zoom Buddies” for anyone who is not good with technology but would still like to participate. This will involve (COVID restrictions permitting) meeting up with another household from the Parish and watching the Annual Meeting together on Zoom. To register your interest in either joining or hosting a Zoom Buddy, please email the Church Office on firstname.lastname@example.org or call (03) 9584 9563.
Alternatively, you can listen to the Annual Meeting over the phone (although this will not enable you to vote). To join the meeting via Phone:
1 – Dial: 03 7018 2005
2 – When prompted, enter the meeting ID: 274 069 7257 (then press #)
3 – When prompted, there is no need to enter a participant ID (just press #)

To ask a question at the meeting
Due to the difficulty of running a large online meeting, Parish Council has decided that this year any questions will need to be submitted in writing to the meeting chair in advance.
If you would like to ask a question or move a motion, this can be done via emailing it to email@example.com or calling the office on (03) 9584 9563.
Questions are able to be submitted until one week before the Annual Parish Meeting on Sunday 24th October 2021.
What if I have a question that’s not answered here?
For any other questions please don’t hesitate to contact the office on
